LITIGATION LEGAL ASSISTANT

Lincoln Office (13th & M) | Full-Time
Schedule: Monday - Friday, 8:30 AM - 5:00 PM

Woods Aitken LLP is seeking a collaborative, enthusiastic, and detail-oriented Litigation Legal Assistant to join our team in our Lincoln office. This full-time position supports a highly skilled attorney whose practice includes litigation as well as service as a mediator and arbitrator.

The ideal candidate will be highly organized, proactive, and comfortable managing multiple priorities while supporting both case management and administrative aspects of a busy practice. Candidates with prior legal experience and/or certification are encouraged to apply.


Responsibilities

  • Drafting, proofreading, and formatting correspondence, pleadings, discovery, and other legal documents
  • Drafting correspondence, memoranda, and other documents from attorney handwritten notes and revising documents based on attorney markups
  • Managing case files and document organization, including electronic filing in state and federal courts
  • Maintaining attorney calendars, including court deadlines, meetings, mediations, and arbitrations
  • Ensuring docket entries in the firm’s practice management system (LMS) are accurately reflected on the attorney’s calendar
  • Conducting conflict checks and preparing engagement letters for new matters
  • Preparing and maintaining mediation and arbitration binders and keeping materials current
  • Preparing and updating arbitration rosters and matrices for matters in which the attorney serves as mediator/arbitrator and for matters in which the attorney represents clients in arbitrations
  • Coordinating acceptance of arbitration appointments and assisting with case setup through the American Arbitration Association (AAA)
  • Scheduling meetings and sending invitations for mediations, arbitrations, and other meetings (via Outlook, Teams and Zoom)
  • Printing and organizing documents for attorney review as requested
  • Assisting with trial preparation, including exhibits, witness coordination, and hearing notebooks
  • Communicating professionally with clients, courts, opposing counsel, and arbitration organizations
  • Coordinating travel arrangements and entering travel reimbursement expenses into the firm’s practice management system
  • Assisting with administrative support tasks including time entry, billing coordination, and expense reporting
  • Collaborating with other assistants, paralegals, and attorneys to ensure seamless case management

Qualifications

  • 2+ years of litigation support experience preferred (law firm or corporate legal setting)
  • Knowledge of legal terminology, court procedures, and e-filing systems
  • Strong proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) and document management systems
  • Familiarity with Copilot or other AI tools
  • Experience with legal practice management/time & billing systems preferred

Job Requirements

  • High school diploma or equivalent required
  • Ability to work full-time, in-office, Monday through Friday from 8:30 AM to 5:00 PM unless otherwise arranged
  • Ability to lift and carry up to 20 pounds as needed for moving file boxes as needed
  • Ability to perform tasks that may require frequent movement between workstations, conference rooms, and common areas
  • Ability to effectively carryout seated computer-based responsibilities for extended periods and work at a computer
  • Ability to communicate clearly in person, by phone, and in writing
