Legal Support Assistant - Lincoln

LEGAL SUPPORT ASSISTANT

Lincoln Office (13th & M) | Full-Time
Schedule: Monday - Friday, 8:30 AM - 5:00 PM

Woods Aitken LLP is seeking a collaborative, enthusiastic, and detail-oriented Litigation Legal Assistant to join our team in our Lincoln office. This full-time position supports a fast-paced construction litigation practice and several attorneys.

The ideal candidate will be highly organized, proactive, and comfortable managing multiple priorities while supporting both case management and administrative aspects of a busy practice. Candidates with prior legal experience and/or certification are encouraged to apply.

Responsibilities

  • Draft, proofread, revise, and format legal documents, correspondence, pleadings, discovery, and memoranda.
  • Manage case files, document organization, and electronic filing in state and federal courts.
  • Maintain attorney and firm calendars, including court deadlines, meetings, mediations, arbitrations, conference room schedules, and firm events.
  • Serve as the first point of contact for clients, vendors, guests, and coworkers by providing professional front desk support, greeting visitors, and answering and directing incoming calls.
  • Coordinate meetings, prepare conference rooms, send invitations, and assist with large meetings, trainings, and firm events.
  • Conduct conflict checks and prepare engagement letters for new matters.
  • Support attorneys with trial preparation, including exhibits, witness coordination, hearing notebooks, and document preparation.
  • Communicate professionally with clients, courts, opposing counsel, arbitration organizations, and other external contacts.
  • Assist with administrative functions including time entry, billing coordination, expense reporting, travel arrangements, and reimbursement processing.
  • Collaborate with attorneys, paralegals, and administrative staff to ensure efficient case management and day-to-day office operations.

Qualifications

  • Knowledge of legal terminology, court procedures, and e-filing systems.
  • Strong proficiency with Microsoft Office Suite (Word, Outlook, Excel, PowerPoint), document management systems, and calendaring tools.
  • Familiarity with Copilot or other AI productivity tools.
  • Experience with legal practice management and time/billing systems preferred.
  • Strong customer service, communication, and organizational skills.
  • Ability to manage multiple priorities with attention to detail and professionalism.

Job Requirements

  • High school diploma or equivalent required; legal assistant or administrative support experience preferred.
  • Ability to work full-time, in-office, Monday through Friday from 8:30 a.m. to 5:00 p.m. This position is not eligible for remote work.
  • Ability to lift and carry up to 20 pounds, including files, office supplies, and meeting materials.
  • Ability to frequently move throughout the office, including between workstations, conference rooms, reception areas, and common spaces.
  • Ability to effectively perform computer-based work for extended periods of time.
  • Ability to communicate clearly and professionally in person, by telephone, video conference, and in writing.
  • Ability to maintain confidentiality and exercise discretion when handling sensitive information.
